Receptionist FAQ
AI receptionist questions
Can it work with our existing phone number?
Often, yes. The exact setup depends on your carrier and current phone system. Common options include forwarding selected calls, routing after-hours calls, using the assistant as an overflow line, or porting or integrating the number when supported. The proposed call path is documented before launch.
What happens when it does not know an answer?
It should say that it does not have an approved answer and follow the defined handoff, callback, or message-taking process. Guessing is not an acceptable fallback.
Can callers reach a person?
Yes, when the phone setup and staffing plan support it. The workflow can transfer, create a callback request, send an urgent notification, or collect a message. The right behavior is defined for each call type.
Can it schedule directly on our calendar?
It can schedule against real availability when the calendar system exposes a suitable integration. Booking rules, appointment types, buffers, required information, and confirmation behavior are defined before the assistant is allowed to book.
Can it update our CRM?
Usually, if the CRM provides a suitable API or integration. The workflow should search before creating a record, normalize the information, and avoid creating a new duplicate every time the same person calls.
How do we review what happened on a call?
The system can produce a structured summary, outcome, captured fields, and follow-up action. Recording and transcription behavior must match the approved setup and applicable notice or consent requirements.
What should healthcare practices consider?
Healthcare workflows need additional review around protected information, vendors, access, retention, notices, and the topics the assistant may discuss. An AI receptionist should not provide clinical judgment or emergency guidance. Compliance requirements are addressed in the project scope, and legal or compliance advice should come from qualified professionals.
How long does setup take, and what do you need from us?
A first receptionist build commonly takes a few weeks once the call paths, approved answers, and system access are available. The schedule is usually set on the business side rather than the technical side: deciding what the assistant may say, who receives a handoff, which appointment types it may book, and who can authorize the change to the phone line.
How much does it cost?
Cost depends on the phone setup, call volume, conversation design, integrations, and support requirements. The proposal separates implementation cost, phone and AI usage charges, any required software, and optional ongoing support.
